This Privacy Policy explains how we collect, use, share and protect personal information when you visit CampervanX, apply to join, create an account, list or enquire about a vehicle, participate in the CampervanX community, register commercial interest, or otherwise interact with our websites, applications and services.
For the purposes of applicable UK data protection law, Nomadified Ltd is the data controller of personal information covered by this Privacy Policy.
1. Information we collect
Depending on how you use CampervanX, we may collect:

Email address
Telephone number
Country and general location
Account and profile information
Login and authentication information
Campervan, motorhome or other eligible vehicle details
Vehicle make, model, year, type and base location
Vehicle photographs, descriptions and availability
Information submitted through Founding Member, membership, vehicle or commercial partner forms

Membership information and status
Travel Credit balances and transaction history
Booking, sharing, rental or trip-related information

Information required to help verify members, vehicles or transactions

When you use CampervanX to share or book a vehicle, we may process information relating to booking requests, confirmed bookings, vehicle availability, booking values, Cash and Travel Credit allocations, booking fees, cancellations, refunds and transaction history.
Where you participate as a commercial operator, we may also process information relating to completed bookings, applicable Commission Rates, commission amounts, payouts, refunds, adjustments and other Commercial Partner transaction records.
Where you have a CampervanX Travel Wallet, we maintain records of Travel Credits awarded, earned, used, refunded, reversed, adjusted or expired where applicable.
These records may include the transaction amount, transaction type, related booking, date and relevant promotional or administrative information.
Booking, payment, commission and Travel Wallet transaction records may be maintained for operational, security, fraud-prevention, accounting and audit purposes.
2. How we use your information
We may use personal information to:
Process membership and Founding Member applications
Create and manage CampervanX accounts
Create and manage vehicle listings
Enable members to discover vehicles and other CampervanX services
Facilitate enquiries, bookings, sharing, rentals and other permitted transactions
Operate Travel Credits and associated member benefits
Communicate with members, applicants and commercial partners
Process or facilitate payments
Calculate, record and administer Commercial Partner commissions and payouts
Verify members, vehicles or transaction information
Support insurance, protection, eligibility or risk checks where applicable

Manage disputes, complaints, incidents and claims
Prevent fraud, misuse and unauthorised activity
Protect members, vehicles, CampervanX and our systems

Operating bookings and the Travel Wallet
Operating bookings, Commercial Partner transactions and the Travel Wallet
We use relevant personal information to process booking requests and transactions, calculate and record Cash and Travel Credit allocations, calculate applicable CampervanX booking fees and Commercial Partner commissions, maintain Travel Wallet balances, issue eligible promotional or earned Travel Credits, process refunds and reversals, investigate transaction issues and prevent misuse of the platform.
For example, an accepted CampervanX Founding 100 member may receive 100 promotional Travel Credits when their qualifying CampervanX account is activated.
Where a commercial operator participates in CampervanX, we may process booking and transaction information to apply the Commission Rate applicable to that operator and maintain appropriate payment, commission, accounting and audit records.
3. Our lawful basis
Depending on the circumstances, we process personal information because:
It is necessary to take steps at your request before entering into a contract or to perform a contract with you;
We have a legitimate interest in operating, securing, improving and developing CampervanX, preventing misuse and communicating appropriately with members, prospective members and commercial partners;
You have provided consent, where consent is required; or
Processing is necessary to comply with a legal obligation.
Where we rely on legitimate interests, we consider whether those interests are balanced against your rights and interests.
4. Account, vehicle and member information
CampervanX is designed to connect vehicle owners, travellers and, where applicable, commercial vehicle providers.
Certain information you provide may therefore be visible to other CampervanX users. This may include information such as
Your profile name or display name
General location
Vehicle details
Vehicle photographs
Vehicle description
Vehicle availability
Reviews or ratings
Other information that is necessary to enable members to assess or arrange a potential transaction
We will not intentionally make information such as your password, payment credentials or private account information publicly visible.
We may limit the display of precise vehicle or member locations until appropriate stages of a transaction for security and privacy reasons.
Founding 100 applications
If you apply for the CampervanX Founding 100 programme, we process the information submitted with your application to assess eligibility, communicate with you and administer the programme.
Application information may initially be processed through our customer relationship management system.
If an application is accepted, relevant information such as your email address, application status and account details may be used to associate the approval with your CampervanX account, activate Founding 100 status and issue the applicable 100 promotional Travel Credits.
Submitting an application does not itself mean that a Founding 100 benefit has been awarded.
Commercial Partner applications
If you register interest in or apply to participate as a CampervanX Commercial Partner, we may process information relating to you, your business, your fleet, your vehicles and relevant contact or operational details.
We use this information to assess eligibility, communicate with you, administer the Commercial Partner relationship and, where accepted, apply the Commercial Partner terms and Commission Rate applicable to your account.
For Founding 100 Commercial Partners, this may include maintaining records of eligibility for the applicable Founding 100 Commercial Partner Commission Rate.
5. Verification, insurance and protection
To support trust and safety within CampervanX, we may require information to verify members, vehicles or eligibility for particular transactions.
This may involve sharing relevant information with specialist verification, payment, insurance, protection or fraud-prevention providers.
Where a third party provides insurance or another regulated service directly to you, that organisation may act as a separate data controller and its own privacy policy will apply.
We will only request information that we reasonably consider necessary for the relevant verification or service.
Identity, driver and vehicle verification
We may process identity, driving eligibility, vehicle and supporting verification information where reasonably necessary to protect members, meet insurance or protection requirements, prevent fraud and determine eligibility for particular platform features or bookings.
Some verification may be carried out by specialist third-party providers. Where this occurs, their own privacy information may also apply.
6. Payments, commissions and Travel Credits
Where payments are made through CampervanX, payment processing may be provided by specialist payment providers.
CampervanX may receive information about a transaction but does not necessarily receive or retain full payment-card details.
We may maintain records of:
payments and payouts;
refunds and reversals;
CampervanX booking fees;
Commercial Partner Commission Rates and commission amounts;
Travel Credits;
Travel Wallet balances; and
other transaction information.
We use these records where required to operate the service, administer bookings and Commercial Partner arrangements, resolve disputes, maintain accounting and audit records and prevent fraud.
Where a third-party payment provider processes payments or payouts, that provider may process personal information under its own privacy terms.
7. Marketing and communications
We may send communications necessary to operate your CampervanX account or provide a service you have requested.
These service communications may include information concerning your account, membership, applications, Commercial Partner arrangements, bookings, transactions, vehicle activity, security or changes to CampervanX.
Where permitted by law, we may also send information about CampervanX membership, vehicles, destinations, offers, events, new services or other relevant developments.
You can opt out of marketing communications at any time using an unsubscribe facility where provided or by contacting us.
Opting out of marketing does not prevent us from sending essential service or account communications.

We may also receive information from service providers involved in payments, verification, insurance, protection, analytics, authentication or other CampervanX services.
Where lawful and appropriate, we may obtain relevant information from publicly available sources.

We may also share appropriate information with another CampervanX member where necessary to facilitate an enquiry, booking or transaction.
We may disclose information where required by law, to regulators or law-enforcement authorities, or where reasonably necessary to protect our legal rights, our users or others.
We do not sell personal information to advertisers.

Some technology and service providers we use may process personal information outside the United Kingdom.
Where personal information is transferred internationally, we take reasonable steps to ensure appropriate safeguards are used in accordance with applicable data protection law.

For example, certain transaction, payment and accounting records may need to be retained after an account is closed, while information that is no longer required may be deleted or anonymised.
Transaction, commission and Travel Wallet records
We may retain booking, payment, payout, Commercial Partner commission and Travel Wallet transaction records for as long as reasonably necessary to operate the service, administer Commercial Partner arrangements, resolve disputes, prevent fraud, maintain an appropriate audit trail and meet applicable legal, tax, accounting and regulatory obligations.
Closing an account or ending a Commercial Partner relationship does not necessarily result in the immediate deletion of transaction records that we are required or reasonably entitled to retain.
